1126277KZL - Kanzlei
1126277JUD - Richter
1126277ATD - Attendee
1126277ADM - Administrator
- Each document/task gets a new id after any activity (e.g. Claim task/sign verdict etc.). That means that IDs are NOT court file numbers, but system generated number.
- If you would like to operate from two (or more) roles simultaneously, then you must use two separate browsers (which share no cookies). In that way, you will see that when 1 task is finished (by one role), the next task immediately gets a notification (another role).
- If you would like to use just 1 browser window, then make sure that after logging-out (from one role) and logging in (to another role) you refresh your browser. Or go to address: http://marioluef.space:8080/# to refresh the page.
- If a button appears disabled after you have entered something in a text field, then you should press “tab” (or change focus from text field) to make the button enabled.
- To search a court file, you have to know the court number. If the number exists, the button will automatically enabled.
- To see the BPMN use this link to get a deeper knowledge about the process https://drive.google.com/open?id=0B2bbGjarjgA3b0ZQS0hieTF1MVE
STEP 1 - Einlaufstelle
=======================
- If you would like to see existing court files then click on “Court files” and enter existing court file number. The result is either an error (if court file not found) or a detailed information about a specific court file
- If you click on “Incoming documents” then you get an upload form, where you can manually upload a file to the system. After uploading there are two possibilities:
-- A file can be recognized by OCR algorithm and it will be assigned automatically if there is anywhere in the document a court file number in the format: “case number: CG/XXXX”, where “XXXX” stands for court case number.
-- If uploaded file cannot be automatically recognized, then it can be done manually. A new task in the list of “Current tasks” will be created with the option “Claim task”. When you press “Claim task”, then the task is assigned to you and you can click on “find court file by reading through the document”. Then you will see the uploaded document where you can look for a court file number. There are two options after that:
--- If you have found the number, then you press “Yes” in the dialog box and input case number manually. After pressing “Assign document” your task as “einlaufstelle” is finished.
--- If you have not found the number, then you press “No” in the dialog box and you have to create a new court file. After you input a new case number in the text field you will have to press “Assign document” and after that your task as “einlaufstelle” is finished.
- After you have assigned the document it will disappear from the “Current tasks” list, meaning your task is done and the next step can begin.
STEP 2 - Kanzlei
=======================
- After logging in, you see a “Current tasks” list
- If you have completed step 1, then you should see at least 1 task where you can click “Claim task”
- After you claim a task, you can click on “Classification of the document within the court file”
- Then you see a document that was by default classified as “Eingang”
- You can now change its classification to any other category from the drop down list
- After choosing an appropriate classification and clicking on “Classify document”, the new classification is saved
- Your “Current tasks” list should not contain that file anymore and you can proceed to step 3
STEP 3 - Richter
=======================
- After logging in you see “Current tasks” list with a new item “Read new document”, which you can claim
- After claiming this task, you can press “Read new document”
- You will see an uploaded file and a dialog box whether a classification is correct. There are two options then:
-- If you press “No”, then the document goes back to “Kanzlei” (step 2). You will no longer see this file in the “Current tasks” list
-- If you press “Yes”, then you have the option to add a new “Note” and/or new “Order”. In any case, you have to press “Decide classification”.
-- If you have chosen either of the options (add note/order), then you will get a text box for note and/or order where you can put note/order text and save them
- After that you see a dialog box “Reference file preparation” where you can decide if “you need this document in your reference file” and if “you want to schedule a trial date”.
-- If you choose “Yes” to the first option then you have to input an existing case number where this file will be added.
-- If you choose “Yes” to the second option then a text field comes where you can set a date and time when the trial will start. #### ATTENTION ## If you choose a date in the future, you have to wait till this date! This means, that you block the process chain and couldn't attend step 4 ##### After you have chosen a date and time you can press “Schedule trial”
- If you have started a trial, then you can create a new verdict for this case. That means that the trial has finished and you as a judge (“Richter”) have passed a verdict
- When a verdict has been passed you as a judge (“Richter”) has to sign it. To do that you have to press “Sign verdict”
- After you have signed a verdict, step 3 is finished
STEP 4 - Teilnehmer
=======================
- After logging in you see “Current tasks” list with a new item “Sign verdict atd”, which you can claim
- When you have claimed the task, you see a court file, containing all relevant court case files.
- You can now press “Sign verdict” to sign a verdict
- After you have signed a verdict, you will no longer see it in your “Current tasks” list. Step 4 is finished. The file will go back to the judge.
STEP 5 - Richter
=======================
- After logging in you see a new item “File court file” in your task list
- After claiming this task you see a dialog box saying if you want to close the court file
- You can now close the court file by pressing “File court file” button
- Court file is now marked as “closed” and you can see its details in the detailed view. Go to “Court files” and search with your court file number (CG/X).
- In the section “Important Dates” you can make sure that “Court file date” is set, meaning it has been closed
